Everyone can see all meetings
Last updated: October 17, 2026
By default people see their own meetings, team admins see their teams' meetings, and the Owner sees everything. If your whole organization should be able to open any recording, turn on Everyone can see all meetings.
Who can do this
The organization Owner only. The Settings tab is not shown to team admins.
Steps
- Open Admin → Settings.
- Under Meetings & pipelines, turn on Everyone can see all meetings.
- Ask people to refresh their Meetings page.
The description under the switch reads: "When off, people see their own meetings plus any access you grant in their profile."
What it changes
- Every person, on every seat type, can open every meeting in the organization, including Spectators.
- Individual Meeting access grants become unnecessary while it is on; the person dialog shows Everyone can see all meetings instead of a grant list.
- Ask Ergo and search answer from everything the person can now see.
What it does not change
- Private meetings stay private. A meeting marked private, by hand or by a Meeting Privacy Rule, is still visible only to its owner and attendees.
- It does not grant Reporting, change seats or roles, or allow CRM writes for limited seats.
- It does not affect external share links.
Related settings in the same group
- Allow internal attendees to delete the meeting: when off, only the meeting owner can delete.
- Pipeline access: choose which teams can see which CRM pipelines on the Deals board.
