Grant meeting or reporting access
Last updated: October 17, 2026
Both grants live on the person's dialog in Admin → Members. They are independent: meeting access does not open Reporting, and Reporting access does not open meetings.
Meeting access
Default visibility: a Member sees meetings they owned or attended; a team admin also sees every meeting of the teams they administer; the Owner sees everything. A meeting access grant adds specific people whose meetings this person can also see.
Who can edit: the Owner (anyone in the organization) or an admin of a team the person belongs to (people in the teams that admin administers). You cannot edit your own.
- Open Admin → Members and select the person.
- In the access list, find Meeting access. It shows the current state: Only their own meetings, Also sees …, Everyone can see all meetings (organization setting on) or All meetings in the organization (the Owner).
- Select Edit.
- In Whose meetings can [name] see?, search and tick people, or use Select all.
- Save. Ask the person to refresh.
Typical uses: a manager who should see their reps' calls, a CSM who should see the AE's calls on accounts being handed over, a Spectator who reviews a few people's recordings.
Private meetings are never included: a meeting marked private is visible only to its owner and attendees regardless of grants. For one recording outside the rules, use the Share button on the meeting or a shared folder.
For organization-wide visibility, use Everyone can see all meetings instead of granting everyone to everyone.
Reporting access
Admins already have Reporting when it is enabled for your organization. For a Member on any seat, the Owner can grant it:
- Open Admin → Members and select the person.
- Find Reporting access and choose All dashboards or Specific dashboards.
- Optionally allow them to create dashboards, fields and rubrics.
- Save.
Edit the same control to change the scope or revoke it. If Reporting is not available to anyone in your organization yet, contact Ergo support to enable it.
Common issues
- Meeting access shows "Everyone can see all meetings" and cannot be edited. The organization-wide setting is on; individual grants are not needed.
- A manager cannot find a rep's meeting in the per-person filter. Grant the manager access to that rep, or make the manager an Admin of the rep's team.
- A deal moved to another team and its meetings vanished for the new team. Grant the new team's members access to the original rep, or share the meeting into a folder the new team can open.
- The person sees meetings but not Reporting. Add a Reporting access grant; it is separate.
