Seat types: what each seat can do

Last updated: October 17, 2026

Every person in Ergo has one seat type, set by the organization Owner in Admin → Members → person → Seat. The seat decides which features the person can use. It does not decide whose meetings they can see; that is meeting visibility.

The three seats

  • Standard: full access to Ergo. Ask Ergo chat, CRM updates, email drafts, tasks, automations, the notetaker and every integration.
  • Notetaker: records and views meetings. The person gets the Ergo bot and desktop recorder, their own email and calendar connection, and can chat about a single meeting from its page. No global Ask Ergo, no CRM writes, no email drafts, no third-party notetakers.
  • Spectator: view-only. The person can open the Dashboard, Meetings and Deals pages, watch the meetings they are allowed to see and chat about them one at a time. Nothing is recorded for them and nothing is written anywhere on their behalf.

Reporting is not decided by seat. A non-admin on any seat needs a Reporting access grant from the Owner.

What a limited seat looks like from the inside

  • The sidebar simply does not show Chat, Tasks, Drafts, Automations or Preferences. Nothing is broken.
  • The Integrations page shows a Spectator access or Limited Access banner explaining that personal integrations are unavailable for the seat.
  • In Admin, the Automations toggle for the person reads "Not available on a Spectator seat" (or Notetaker).
  • Meetings they attended still appear in their history; meetings they did not attend appear only if someone granted them access or the organization has Everyone can see all meetings turned on.

Choosing a seat

  • Someone who sells and whose calls should update the CRM: Standard.
  • A manager, coach or post-sales teammate who should record their own calls but not have Ergo write to the CRM for them: Notetaker.
  • An executive, reviewer or new hire who only needs to watch recordings: Spectator.

Seats are billable. Changing a seat changes your bill; check your agreement first.

Changing a seat

Only the Owner can change a seat (Admin → Members → person → Seat). Downgrading disconnects integrations and, for Spectator, cancels scheduled recordings; upgrading does not reconnect them, so the person should revisit Integrations afterwards. Details in Change a role or seat type.
