Organization and team hierarchy

Last updated: October 17, 2026

The model

  • Organization: your company. It has exactly one Owner, shown with the Owner label in Admin → Members. The Owner can do everything on this page; only Ergo can change who the Owner is.
  • Teams: groups inside the organization, each with a type (sales, implementation, success, partnerships, growth or marketing, product). A person can belong to several teams and has one primary team. Teams decide which team admins can see a person's meetings and which CRM pipelines they can see.
  • Role in team: Admin or Member. An Admin manages that team: edits it, adds new people to it, turns Automations on or off for its people and edits whose meetings they can see. Everything else stays with the Owner.
  • Seat: Standard, Notetaker or Spectator. Decides which features the person can use. Set per person, independent of role.

What the Admin area shows

  • Teams: each team expands to its admins and members. An admin of exactly one team lands here directly.
  • Members: everyone in the organization with their seat, role and access. Owner only.
  • Usage: seat usage and billing, shown when billing is configured for your organization. Owner only.
  • Settings: organization-wide switches such as Everyone can see all meetings, pipeline access, who may delete meetings and directory sync. Owner only.

Rules to remember

  • A person must be in at least one team.
  • Team admins see the meetings of their teams' members; Members see only their own unless granted more.
  • Memberships that come from Okta directory sync are labelled Managed by Okta and are changed in Okta, not in Ergo.
  • Seats are billed; roles are free.
