Spectator management

Last updated: October 17, 2026

A Spectator seat is view-only: the person can open the Dashboard, Meetings and Deals pages, watch meetings they are allowed to see and chat about a single meeting from its page. Nothing is recorded or written on their behalf, and the global Ask Ergo chat, Tasks, Drafts, Automations and Preferences are not shown to them. The full comparison is in Seat types.

Create a spectator

Use Add Member in Admin and choose Spectator as the Seat. The Owner can do this for any team; a team admin for their own teams. See Provision accounts.

Convert an existing person

Only the Owner can change a seat: Admin → Members → person → Seat. Converting to Spectator disconnects the person's email, calendar, personal Slack and notetakers and cancels their scheduled recordings. Converting back does not reconnect them. See Change a role or seat type.

What a spectator sees

  • Meetings they attended, plus any meetings granted through Meeting access on their profile, plus everything if the organization has Everyone can see all meetings on.
  • A Spectator access banner on the Integrations page instead of integration cards.
  • Deals, read-only.

If a spectator reports that chat is missing or their meetings are not updating the CRM, that is the seat working as designed. The fix is a Standard seat.

Give a spectator more to review

  • Whose meetings they can see: Admin → Members → person → Meeting access → Edit (Owner or the person's team admin).
  • Reporting dashboards: Reporting access on the same dialog (Owner only).
  • One recording from outside those rules: the Share button on the meeting, or a shared folder.
